Documents to gather first
Most of the delay in getting a usable FF&E quote comes from missing paperwork rather than missing decisions. Gathering these up front usually turns a two-round quote into a one-pager.

- Inventory list with quantities by SKU or article number.
- Floor plans, and renders if placement will be render-guided.
- Room matrix or DSR — the detailed scope of requirements, if the project has one.
- Room type breakdown and unit counts per type.
- Vendor list with expected ship dates and shipping method.
- Expected packing slips or vendor packing standards.
- Construction schedule or general contractor milestone list.
Decisions to make before the first container
- Inspection depth: standard receiving, open-box quality control, or open-box on selected vendors and SKUs.
- Who authorizes a disposition when an OS&D exception is raised, and how fast they can respond.
- How inventory is allocated: by room, unit, floor, room type or project phase.
- Whether crews present branded or in neutral, unbranded attire.
- Whether decommissioning and disposal of existing furniture is in scope.
- Who is responsible for supplying manufacturer-specific brackets and proprietary hardware.
- Whether packaging and debris removal is in scope, and any recycling requirements.
- What portal access the design or project team needs into the inventory.
Site details that change the quote
These are the items that turn an installation day into two, and they are all knowable in advance.
- Loading dock availability, dimensions and booking process.
- Elevator or hoist access, reservation rules, and dimensions of the smallest opening on the route.
- Whether the property is occupied during installation and what noise or hours restrictions apply.
- Floor protection requirements and any finished surfaces already in place.
- Parking, street access and any permit requirements.
- Site security procedures, badging and after-hours access.
- Whether night or weekend work is required.
Documentation to agree on
Decide what evidence you expect to receive, and when, before the project starts rather than requesting it retroactively.
- Receiving records and condition documentation format.
- Photographic evidence standards for exceptions.
- Reporting cadence during the inbound and installation windows.
- Certificates of insurance and any additional-insured requirements.
- Applicable provincial workers’ compensation documentation for crews assigned to the project.
- Confidentiality and any site-photography restrictions.
Timing
The binding constraint on a large FF&E program is usually warehouse capacity and crew reservation, not truck availability. Both are booked further out than most project teams expect, and both are harder to move once committed. Coordinate major programs well in advance so labour, warehouse capacity, transport and sequencing can be reserved; small local assignments can move faster and are subject to availability.
